Almost every business starts on an inbox and a spreadsheet, and for a long time that is fine. But there is a point where it quietly starts costing you customers. Here are five signs you may have reached it.

1. Enquiries slip through

Someone emailed on Tuesday and nobody is quite sure who replied. When a lead has no owner and no follow-up date, it is easy for everyone to assume someone else has it. If you have ever lost a job that way, this is the sign.

2. The same information is typed in two or three places

A booking goes in the calendar, then a spreadsheet, then an invoice. Every retyping is a chance for a mistake and time your team does not get back.

3. Only one person knows how it works

If the system lives in one person’s head, or in one person’s spreadsheet with its own colour codes, a holiday or a resignation becomes a risk to the business.

4. You cannot answer simple questions

Where do our customers come from? How many enquiries turned into sales this month? What is overdue right now? If answering takes an afternoon of scrolling, you are running without a dashboard.

5. Customers wait for things they could do themselves
